Booking terms

Clear before you travel.

These terms explain the main conditions that apply when you book a Pro Ride journey through our platform.

Booking and confirmation

A journey is reserved once Pro Ride accepts the booking and the required deposit, trusted-customer waiver or full online payment condition has been satisfied. Keep your booking reference and check the journey details in your confirmation. Please tell us promptly if anything is incorrect.

Prices, promos and trusted status

The final journey fare shown at checkout is the amount payable for the selected Pro Ride vehicle option after any valid promo discount has been applied. A trusted-customer benefit can waive the normal booking deposit, but it does not reduce the journey fare. Airport-specific fees included by the booking system form part of the final quoted fare.

Payment choices

At checkout you can normally choose Cash or Pay online. If you choose Cash, you pay the required booking deposit online to secure the booking unless an eligible trusted-customer benefit waives it, and the remaining balance is payable in cash in accordance with the cash-collection rules below. If you choose Pay online, the full journey fare is collected through Stripe at booking. The payment methods Stripe shows at checkout depend on the transaction and customer eligibility and may vary.

Linked return bookings

For a linked return booking, the payment choice applies to the outbound and return journeys together. If you choose Cash and there are 13 days or less between the booked outbound and return pickup dates, the remaining cash balance for both journeys is payable to the outbound driver at the outbound pickup. If the return pickup is 14 days or more after the outbound pickup, each journey is paid separately: the outbound driver's cash is for the outbound leg only and the return driver's cash is for the return leg only. If you choose Pay online, the full fare for both linked journeys is settled at checkout.

Cash balance at pickup

For a one-way booking, any remaining cash balance is due to the driver at that journey's pickup. For a linked return booking, the 13-day return rule above determines whether the outbound driver collects the remaining balance for both journeys or whether each journey is settled separately. If the agreed payment is not made, Pro Ride may need to pause or decline the journey while the payment position is resolved, subject to the circumstances and applicable law.

Vehicle options

ProRideX, ProRideEstate, ProRideXL, ProRideExec and ProRideXXL describe the service and capacity option booked. They do not guarantee a particular make, model, colour or registration. Pro Ride will allocate a suitable vehicle within the booked option.

Passengers and luggage

Passenger and luggage information must be accurate enough for us to allocate suitable transport. If the booked option cannot safely accommodate the passengers or luggage because the information supplied was incomplete or inaccurate, a different vehicle or additional transport may be required and may cost more.

Airport and flight information

Where flight number or terminal information is supplied, Pro Ride may use it to help manage the journey. Customers remain responsible for providing the correct airport, terminal, pickup date and agreed pickup time and for telling us about material changes as soon as possible.

Short-notice bookings

Bookings requested less than 48 hours before pickup require an availability check with Pro Ride before they can be accepted online. For bookings accepted through the normal online flow 48 hours or more before pickup, the usual Cash or Pay online choices apply, subject to any booking benefit or promo conditions shown at checkout.

Customer cancellations

Our normal policy is that cancellations made within 48 hours of the booked pickup time are non-refundable because driver and vehicle capacity may already have been committed. Earlier cancellations can be reviewed according to the circumstances of the booking. Nothing in these terms removes any statutory rights you may have, and any cancellation charge or retained payment will be applied only to the extent permitted by law.

Delays and changes

Traffic, road closures, weather, airport disruption and other events outside our reasonable control can affect journey times. We will use reasonable care and skill in providing the service and will communicate material changes we become aware of. Customers should allow suitable time for check-in, security and other onward travel requirements.

Live journey features

A secure journey link may show booking progress, driver information and live location when the relevant journey stage is active. The link should be treated as private. If you choose to share your journey, only share the secure link with people you trust.

Contact and complaints

If you need to change a booking, cancel a journey or raise a concern, contact Pro Ride as soon as possible and quote your booking reference. We will review concerns against the booking record and the circumstances of the journey.
